3.1)  What does InnerPass allow me to do with files?

InnerPass enables you to share documents for presentation and collaboration purposes.  One of the most common ways to share a file is to upload the file to a meeting room and grant permissions for your guests to view, download, and edit the file.  Here is a list of the many things you can do with documents on InnerPass:

  • Simply view the file without downloading it.
  • Open the file, download it to your computer, make chances and upload it back to the meeting   room.
  • View the properties of the file to find out when it was uploaded to the meeting room, last  modified and last accessed.  You can also see a history of past versions of the file, the author of that version and the date it was created.
  • Find out if another person has checked out the file for editing.
  • Copy the URL so that you can create a link to the file.
  • Rename or delete the file
  • Add comments to the file.

 3.2)  How do I view the file without downloading it?

Select the meeting room that has the file you want to view, click the file and then click ‘View’.

 

The file you selected will appear in a new window ready for viewing.

 

 3.3)  How do I edit a file and put it back in the meeting room?

Select the meeting room that has the file you want to view, click the file and then click ‘Edit’.

 

A window appears asking you to either open or save the file, or cancel.  Click ‘Save’.

 

You simply save the file to your hard drive, placing it in a folder that you can easily find later.  When the download is complete, select ‘Open’ so that you can edit the file.

 

At this point, the file is considered ‘checked out’ for editing.  If you were to look at the properties of the file, a few things have changed.  ‘Check-In My Edits’ and ‘Upload Changed File’ both mean the same thing – you select these when you are done editing and want to upload the changed file back to the room.  You would select ‘Cancel My Edits (unlock)’  if you’ve decided not to upload the changed file into the meeting room and want to check the file back in.

 

If you select View Properties, you’d see when the file was last accessed and who the owner is.

 

 

After the file has been edited, you are ready to upload the changed file back to the room.    Click on the file you have edited and select ‘Upload Changed File’.

 

 

Select ‘Browse…’ to browse through your file directory and select the file you want to upload.  The name of the file will appear in the gray window.  Then select ‘Upload’ and the file is uploaded back into the meeting room.

 

 

3.4)  How do I view the properties of the file?

Select the meeting room that has the file you are interested in, click the file and then click ‘View Properties’.

 

 

A window appears with all the pertinent information about the file including file type, name of person who created the file, file size, date first uploaded into meeting room, date last modified, date last accessed, and version information.  You are also allowed to rename or delete the file from this screen.

 

3.5)  How do I know if another person has checked out the file for editing?

When you click on a file in a meeting room, you will know if someone has checked it out if you see message ‘Who has Edit Lock?’  This means that someone has checked out the file for editing.  Select ‘Who has Edit Lock?’ and a window will appear with the name of the person who checked out the file and the date it was checked out.

 

 

3.6)  How do I copy the URL so that I can create a link to the file? 

Select the meeting room that has the file you are interested in, click the file and then click ‘Copy File URL’.  You can then paste the URL into an email, another document or anywhere else.

 

3.7)  How do I rename or delete a file? 

 

Select the meeting room that has the file you are interested in, click the file and then click ‘Rename’ or ‘Delete’ and then follow the easy instructions.

 

3.8)  How do I add comments to a file?

Select the meeting room that has the file you are interested in, click the file and then click ‘Comments’.

 

 

A screen appears listing all the actions taken on the file along with any comment saved.  You simply type in a comment about the file, click ‘Save,’ and the comment is stored for future reference.
